1. Who We Are

GanttSnap ("we", "our", or "us") is a Microsoft PowerPoint add-in that converts project schedule data into Gantt chart slides. GanttSnap is an independent software product operated as a sole proprietorship registered in the Netherlands.

2. What Data We Collect

GanttSnap operates in two modes, and data handling differs by mode:

Free / Trial Mode (no account required):

• No personal data is collected.
• Your schedule data (Excel files, activity names, dates) is processed entirely on your local device and is never sent to our servers.
• We do not track what you do inside GanttSnap — which features you use, which templates you pick, or what you produce. There are two narrow exceptions, both described below: anonymous usage counts and diagnostic error reports.

Licensed Mode (account required):

• Email address — used to create your account and deliver your license.
• License key — stored to validate your subscription status.
• Payment information — handled entirely by Stripe, our payment processor. We never see or store your card details.

We do not collect:

• Your schedule data, project names, or activity details
• The contents of your Excel files
• The slides or presentations you create
• Your browsing history

Anonymous Usage Counts (all modes):

When you open GanttSnap, it sends one short message to us so that we can count how many people use the add-in each day and on which plan. At most one record is kept per installation per day, and it contains only:

• A random installation identifier, generated by the add-in and stored on your device. It is not derived from your device, your account, your name or any other personal information.
• Your plan tier (Free, Pro, Advanced or Enterprise) and whether you are on a trial
• The GanttSnap version, and which Office application, platform and version you're using (e.g. PowerPoint, Windows)

Before the record is stored, the installation identifier is irreversibly hashed with a secret key that we hold separately. The stored record therefore cannot be traced back to your installation, and cannot be linked to your account, your licence or your email address. A record never contains your email address, licence key, IP address, schedule data, activity names, dates, file names or slide content.

These records are used only to produce aggregate counts — for example, how many people used the Free plan on a given day. Individual records are deleted after 90 days; only aggregate daily totals are kept after that. We do not use them for advertising or profiling, and we do not share them.

Diagnostic Error Reports (all modes):

If GanttSnap encounters an error, it may send us a short diagnostic report so we can fix the problem. A report contains only:

• The error message and where in the add-in it occurred
• The GanttSnap version and which Office application and platform you're using (e.g. PowerPoint, Windows)
• Your licence tier (Free, Pro, Advanced or Trial) — not your licence key or email address

A report never contains your schedule data, file contents, activity names, dates, slide content, or your email address. Reports are not linked to your identity and are used solely to diagnose and fix bugs; they are kept for a limited time and then deleted.

3. How We Use Your Data

The limited data we collect is used solely to:

• Create and manage your GanttSnap account
• Validate your license when you use the add-in
• Send you essential service communications (license confirmation, renewal reminders)
• Provide customer support when you contact us
• Diagnose and fix errors, using the diagnostic reports described in Section 2
• Count how many people use GanttSnap each day and on which plan, using the anonymous usage counts described in Section 2

We do not use your data for advertising, profiling, or any purpose beyond operating the service.

4. Data Storage and Security

Account and license data is stored securely using Supabase, a cloud database provider with industry-standard encryption at rest and in transit (TLS). We retain your account data for as long as your account is active, or as required by law.

Your schedule data never leaves your device and is therefore never stored by us.

5. Third-Party Services

We use the following third-party services:

• Google Analytics (GA4) — website analytics. We use Google Analytics to understand how visitors use our website (pages visited, session duration, referral source). Google Analytics may collect your IP address and browser information via cookies. Google's privacy policy applies: policies.google.com/privacy
• Stripe — payment processing. Stripe's privacy policy applies to payment data: stripe.com/privacy
• Supabase — account and license data storage, anonymous usage counts, and diagnostic error reports (see Section 2). Supabase's privacy policy: supabase.com/privacy
• Microsoft Office Add-in Platform — required to run GanttSnap inside PowerPoint. Microsoft's privacy policy applies: privacy.microsoft.com

We do not sell, rent, or share your personal data with any other third parties.

6. Your Rights

Depending on your location, you may have the following rights regarding your personal data:

• Access — request a copy of the data we hold about you
• Correction — request correction of inaccurate data
• Deletion — request deletion of your account and associated data
• Portability — request your data in a portable format
• Objection — object to processing of your data

7. GDPR (European Users)

If you are located in the European Economic Area (EEA), our legal basis for processing your personal data is the performance of a contract (providing you with the GanttSnap service). For the anonymous usage counts and diagnostic error reports described in Section 2, our legal basis is our legitimate interest in understanding how many people use GanttSnap and in keeping it working correctly; you can object to this processing by contacting us at the address in Section 11. We do not transfer your data outside the EEA except as necessary to operate the service using the third-party providers listed above, each of which provides adequate safeguards.

8. CCPA (California Users)

If you are a California resident, you have the right to know what personal data we collect, request deletion of your data, and opt out of the sale of your data. We do not sell personal data. To exercise your rights, contact us at info@ganttsnap.com.

9. Children's Privacy

GanttSnap is intended for professional use and is not directed at children under the age of 13. We do not knowingly collect personal data from children. If you believe we have inadvertently collected such data, please contact us and we will delete it promptly.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. We encourage you to review this policy periodically. Continued use of GanttSnap after changes constitutes acceptance of the updated policy.
